What is offline conversion tracking?
Offline conversion tracking sends outcomes from your CRM, like a qualified lead or closed deal, back to your ad platforms. How it works, step by step.
Offline conversion tracking sends outcomes that happen outside your website, such as a qualified lead or a closed deal in your CRM, back to the ad platform that brought the person in. The platform can then judge, and optimise, its campaigns on real business results instead of form fills.
The problem it solves
Ad platforms only see what happens on your site. A form submission is the last thing they see, even though the lead might be unqualified, or might become your biggest deal months later. Offline conversion tracking closes that gap, which is why it sits at the centre of reconciling ad platforms against your CRM.
How it works, step by step
- 1. Capture the click ID. When someone clicks an ad, the platform appends an ID to the link (Google uses a
gclid, Meta anfbclid). Hidden fields on your form save it when the visitor submits. - 2. Store it on the CRM record. The click ID is saved against the lead, alongside the UTM tags.
- 3. Mark the stages that matter. Decide which CRM stages count, such as qualified lead and closed-won.
- 4. Send the stage change back. When a record reaches that stage, the system sends the platform the click ID, the event name, the time and, ideally, the deal value.
- 5. Let the platform learn. Over time, bidding and audiences shift toward the clicks that turn into deals.
Matching without a click ID
If the click ID is missing, platforms can often match on a hashed email address instead. Google calls its version enhanced conversions for leads. It is a useful fallback, but a captured click ID is the more reliable link.
What goes wrong
- The click ID is never captured, so there is nothing to send back.
- CRM stages are named inconsistently, so the right ones are never picked up.
- Uploads are infrequent, and platforms accept them only within a limited window after the click.
- The same conversion is sent twice.
The capture step starts with tagged links and hidden form fields; see what UTM parameters are. The send-back step is covered for Meta in the Meta Conversions API guide. We build the whole chain as part of our CRM integration work.
Questions people ask
Which ad platforms support offline conversions?
Google Ads, Meta, LinkedIn and Microsoft Advertising each support sending back outcomes from your CRM, each with its own method.
How long after the click can I upload?
Each platform limits the window, so check its current rules and upload on a regular schedule rather than in occasional batches.
Do I need a CRM for this?
You need somewhere that records the lead and its later stages. That can be a CRM, or a well-kept spreadsheet at small scale, but a CRM makes it automatic.
